Position Overview

About the role

We are a leading national wholesale and distribution business, supplying products across the country through a network of branches, distribution centres, and B2B channels. We are seeking a versatile and hands-on Pronto Xi ERP Systems Administrator to take ownership of our core business systems while also overseeing our broader IT infrastructure.

This is a hybrid role ideal for a “player-coach” who thrives in a dynamic environment. Approximately 70% of your time will be dedicated to administering, supporting, and optimising our Pronto Xi ERP system (including EDI, B2B integrations, and warehouse workflows). The remaining 30% will focus on maintaining our national IT infrastructure, ensuring our head office, branches, and warehouses have reliable, secure, and efficient technology operations.

What you’ll do

Key responsibilities

Pronto Xi ERP Administration & Support

  • Act as the primary system administrator for Pronto Xi ERP — managing user access, security roles, system configurations, and master data governance
  • Provide Level 2/3 technical support for all Pronto modules (Financials, Distribution, Sales, Purchasing, Inventory), resolving complex system errors and performance issues
  • Manage critical wholesale workflows, including print queue management for warehouse documents (pick slips, consignment notes, invoices, barcode labels)
  • Administer and troubleshoot EDI transactions, ensuring seamless electronic trading with major national retail and commercial clients
  • Perform routine system maintenance, database backups, and apply Pronto Xi patches and upgrades (v7.x / PostgreSQL environment)

Pronto Integrations & BI Reporting

  • Administer and monitor integrations between Pronto Xi and third-party systems, including B2B e-commerce portals, 3PL/WMS systems, and freight couriers
  • Manage data extracts and ensure data integrity for business intelligence platforms (Cognos and Phocas)
  • Write and optimise basic SQL queries to assist the finance and commercial teams with ad-hoc data extraction and troubleshooting
  • Collaborate with external Pronto developers or internal analysts to scope and test new system enhancements

IT Infrastructure & Network Administration

  • Administer and maintain core IT infrastructure, including Windows Server environments, Active Directory, and virtualisation (VMware/Hyper-V)
  • Manage the national Microsoft 365 / Office 365 tenant, including Exchange Online, SharePoint, Teams, and endpoint security
  • Oversee network connectivity across the national branch and warehouse network (LAN/WAN, Wi-Fi, firewalls), ensuring reliable connectivity for remote sites
  • Manage the lifecycle of IT hardware, including provisioning PCs, warehouse mobile computers (barcode scanners), and network printers
  • Act as the primary liaison with external Managed Service Providers (MSPs), telecom vendors, and hardware suppliers for escalated infrastructure issues

Helpdesk & End-User Support

  • Serve as the final internal escalation point for the IT helpdesk, resolving complex technical issues that cannot be solved by junior support or the MSP
  • Provide VIP support for executive staff and branch and warehouse managers
  • Maintain IT documentation, including network diagrams, system configurations, and standard operating procedures (SOPs) for both ERP and general IT

What you bring

Required qualifications

Education & Experience

  • Bachelor's degree or Diploma in Information Technology, Computer Science, or a related field
  • Minimum 3–5 years of experience in an IT Systems Administration role
  • At least 2 years of hands-on experience administering Pronto Xi ERP in a distribution, wholesale, or manufacturing environment
  • Proven experience managing Windows Server infrastructure and Microsoft 365 environments

Essential — Pronto Xi ERP

  • Deep understanding of Pronto Xi architecture, system administration, and security frameworks
  • Strong experience managing EDI setups, troubleshooting failed transactions, and working with EDI mapping tools
  • Proficiency in managing Pronto print queues, form design, and warehouse hardware integrations (scanners, label printers)
  • Solid SQL skills for database querying, troubleshooting, and basic reporting

Essential — IT Infrastructure

  • Strong administration skills in Windows Server (2016/2019/2022), Active Directory, and Group Policy
  • Comprehensive knowledge of Microsoft 365 administration (Exchange, Intune/Endpoint Manager, SharePoint)
  • Solid understanding of networking fundamentals (TCP/IP, DNS, DHCP, VLANs, routing, and firewall management)
  • Experience with backup and disaster recovery solutions (e.g., Veeam, Altaro)

Desirable Skills

  • Experience with Pronto Xi v7.x and PostgreSQL database administration
  • Familiarity with BI tools such as Cognos or Phocas
  • ITIL Foundation certification or formal ITSM experience
  • Basic networking certifications (e.g., CCNA, CompTIA Network+)

Working conditions

  • Sydney head office with a hybrid working model (approx. 3 days on-site, 2 days remote)
  • Occasional travel to national branches, warehouses, and distribution centres for hardware rollouts or on-site troubleshooting
  • Participation in an after-hours on-call roster to address critical ERP outages or network failures affecting warehouse operations
  • Fast-paced wholesale environment where system uptime directly impacts order fulfilment and national deliveries

Performance metrics

  • ERP Stability: Pronto Xi system uptime, EDI transaction success rates, and resolution time for critical ERP tickets
  • Infrastructure Reliability: Network availability across all national sites, server uptime, and successful backup verification
  • Project Delivery: Timely completion of IT and ERP projects (branch network upgrades, new Pronto module rollouts)
  • User Satisfaction: Positive feedback from branch, warehouse, and head office staff regarding IT and ERP support
